Dental practices · Managed IT & HIPAA readiness

Keep your practice running. Keep patient data protected.

Managed IT, backup, cybersecurity, and HIPAA readiness designed around the way your practice actually works — from one accountable partner.

01What an outage actually costs

When the technology stops, the schedule stops with it.

A practice does not lose an hour to a technology problem. It loses the appointments booked into that hour, the staff time spent working around it, and the goodwill of patients sitting in the waiting room.

Owners and managers need business-level clarity about what happened and what it will take to stop it happening again. Front-desk and clinical teams just need an easy route to timely help.

  • 01

A workstation or server issue delays appointments and pushes the day back.

  • 02

Imaging or X-ray software will not talk to the practice-management system, and each vendor points at the other.

  • 03

Billing, communications, and payment systems are interrupted, and nobody owns the fix.

  • 04

Backups are running, but nobody has confirmed that a restore would actually work.

  • 05

HIPAA readiness is an intention rather than a documented risk assessment and a prioritized plan.

02What we take on

Run the practice. Protect the practice. Modernize the practice.

The same three responsibilities we take on for any organization, adapted to how a practice runs a clinical day.

Run

Keep the day moving

Support for front-desk, clinical, and administrative teams. Proactive monitoring and management of covered workstations and servers, patch and update management, and the network behind your imaging, practice software, and front desk.

03Where practices lose the most time

Your vendors have to work together. That part is our job.

A practice depends on a stack that nobody sold you as a stack. When two of these disagree, the person who ends up refereeing is usually your office manager — between patients.

We coordinate with them on your behalf when that coordination is included in your agreement, and we keep one visible record of what was raised, what was done, and what is still outstanding.

How we work

Art direction: a practice owner or office manager at a modern reception counter, calmly reviewing the day’s schedule on a monitor. Clean clinical setting, natural light, real staff. No procedures, no open mouths, no padlocks or hooded figures.

A risk assessment should do more than identify problems.

HIPAA readiness is ongoing work, not a one-time purchase or a badge on a brochure. We examine the relevant administrative, physical, and technical safeguards, document the risk, and turn the findings into a plan your practice can actually work through.

More on readiness assessments

  1. Scope and data gathering. What systems, locations, and information are in scope, and who we need to speak to.

  2. Interviews and evidence review. How the practice actually works day to day, alongside the documentation that already exists.

  3. Technical review and risk analysis. Safeguards in place, gaps against applicable requirements, and what each gap means in practical terms.

  4. Findings and a prioritized remediation plan. Ordered by risk and effort, so you can start on Monday rather than reading a report.

  5. Leadership readout and follow-up guidance. A conversation with the owner or practice manager, in business language.

Where our responsibility ends. We can assess, advise, implement safeguards, support documentation, and help improve readiness. We cannot promise legal compliance, certification, or immunity from enforcement — those obligations stay with your practice, and some are worth reviewing with qualified legal or compliance counsel. Exact assessment scope, deliverables, and ongoing support are defined in the applicable agreement.

05Before you sign with anyone

Five questions worth putting to your current provider.

Including us. If a provider cannot answer these plainly, that is the answer.

  • When did you last confirm that a backup could actually be restored?

A backup job reporting success is not the same as a tested restore of your practice-management database.

  • Who takes responsibility when the practice software, imaging system, network, and hardware vendors disagree?

If the answer is "we raise a ticket with them," you are still the one coordinating.

  • What exactly is covered, what is excluded, and what hours does that cover?

Coverage, response commitments, device limits, and exclusions should be in writing before you sign, not discovered during an incident.

  • Is cybersecurity included in the managed IT price, or quoted separately?

Managed IT is not automatically a complete security programme. The inclusions should be stated explicitly.

  • Can you show me a documented risk assessment and a prioritized remediation plan?

If HIPAA readiness has never produced a document, it has not really been assessed.

06Start with a review

Schedule a dental IT and HIPAA readiness review.

A focused conversation about your practice: what keeps interrupting the schedule, how many locations and team members you support, when a restore was last tested, and where responsibility currently sits across your vendors.
